Who is accountable
Porch & Frame is accountable for the personal information we collect. Contact our privacy contact at [email protected] with any question, correction or complaint.
What we collect
If you order, only what's needed to deliver the video: your name, email address, the listing address, and the photos we copy from the listing page you name at checkout, or that you send us instead (as email attachments or a link to a folder you share). If you ask for a free video or preview, we collect your name, email, listing address, the link to your listing page, the photos we copy from it, and the time you ticked the rights line. Payment is handled by our payment processor; we don't store your card details. If we've emailed you about a listing, we also keep your name, the business email address published on your brokerage or agent page, the listing address, and the visit records described below.
Page view counts
We count visits to our pages with Cloudflare Web Analytics. It sets no cookies and doesn't track you across other sites. For each page address we see how many times and on which days it was opened, and the visitor's country, browser and device type. We don't see names or email addresses.
Visits from our emails
When we email you, the links to our demo video, to the order page and to our request form carry a random ID that we tie to your email address in our own records. When you open one of those links we log the date and time, whether you pressed play on the demo video, how much of it you watched, and whether you clicked the vertical-cut or order link, together with your browser's user-agent text, cut to 120 characters. We don't store your IP address, we don't set cookies or store anything on your device, and these records don't use third-party analytics. We use this only to see whether our emails are useful, to show you the right version of the request form, and to tie an order or request back to the email it came from. If you order or send a request, the ID is also attached to your payment record or request. We keep these records for 90 days, then delete them, or sooner if you ask. To have them deleted, email [email protected]. To stop the logging, remove the "?r=" part from a link before you open it.
Why we collect it
To build and deliver the video you purchased or asked for, to communicate with you about it, and to provide support.
How long we keep it
We delete the photos we copy or you send within 30 days of delivering your video, unless you ask us to delete them sooner. Your finished video files are kept on an unlisted download page (anyone with its link can open it) for 30 days after delivery, then deleted; our hosting provider's cache can keep serving a copy at that page's address for up to 7 more days. Order records (name, email, listing address, payment record) are kept for 12 months after your order, then deleted, unless you ask us to delete them sooner. Request records are kept 12 months, then deleted, like order records, except a request we couldn't make because we'd reached our limit, which we delete within 30 days. We delete the photos within 30 days of sending your video or preview. A preview or free-video page comes down after 30 days, with the same cache delay as a download page.
How we protect it
Your photos and order details are only accessed to build and deliver your video. Access is limited to what's needed to do the work.
Where your information is processed
Our website hosting, web font, email, payment and AI service providers may store or process your information outside Canada, including in the United States, where it may be accessed by courts, law enforcement and national security authorities there.
Your rights
You can ask to access, correct or delete the personal information we hold about you, or ask a question or file a complaint, by emailing [email protected]. If you're not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, in BC, the Information and Privacy Commissioner (oipc.bc.ca).
